Introduction:

Fleet-Connection is committed to maintaining the highest standards of compliance and ethical conduct in all of our email communications. This policy outlines our approach to email compliance, ensuring that our email practices adhere to applicable laws and regulations, including the CAN-SPAM Act and the General Data Protection Regulation (GDPR), despite operating exclusively within the United States and not sending emails outside the US.

Scope:

This policy applies to all email communications sent by Fleet-Connection or on its behalf, including but not limited to marketing emails, transactional emails, and internal communications. It applies to all employees, contractors, and third parties who are involved in the creation, transmission, or management of email communications.

Fleet-Connection adheres to the following principles to ensure email compliance:

1. CAN-SPAM   Compliance: All email communications sent by Fleet-Connection comply  with the requirements of the CAN-SPAM Act, including the inclusion of accurate sender identification, clear opt-out mechanisms, and truthful and non-misleading subject lines and headers.
2. GDPR  Compliance: Despite operating exclusively within the US, Fleet-Connection ensures that its email practices are GDPR compliant, including obtaining consent where required, providing individuals with the opportunity to opt-out of receiving emails, and safeguarding the personal data of individuals.
3. Accuracy and Transparency: Fleet-Connection ensures that all email communications are accurate, transparent, and truthful, and do not contain deceptive or misleading information.
4. Data  Protection: Fleet-Connection takes measures to protect the personal data of individuals contained in email communications, including encryption and secure storage practices.

Responsibilities:

1. Email Compliance Officer: Fleet-Connection appoints an Email Compliance Officer responsible for overseeing compliance with this policy and providing guidance and training to employees on email compliance best practices.
2. Employees:  All employees are responsible for ensuring compliance with this policy in  their email communications and are required to undergo training on email compliance practices.

Data Management:

Fleet-Connection maintains accurate records of email communications, including opt-in and opt-out requests, and ensures that recipient preferences are respected in all email communications.

Review and Update:

This email compliance policy is reviewed and updated regularly to ensure ongoing effectiveness and compliance with legal and regulatory requirements.
